​ELIGIBILITY

Programs are open to all secondary school students registered in public, private, or separate schools anywhere in the world.


 

CANCELLATION POLICY for Summer Programs:

Cancellations must be received by MEI International Academy in writing and are subject to the following:
Once a student submits their reference package with a completed Confirmation of Acceptance form, and a student is accepted, the deposit and monies paid to MEI International Academy and Carlson Wagonlit Victor Travel are non-refundable.
If a student is not accepted into the program of their choice, the deposit of $1500 will be refunded.
In the event of cancellation during or prior to a program due to medical reasons or bereavement, and if insurance has been purchased, students and parents must deal directly with their Insurance company.


 

PROGRAM FEE does not include:

Application Fee, gratuities, Applicable taxes including Departure Taxes/Airport Service Fees, and Fuel Surcharges. Approximate Departure Taxes/Airport Service Fees, Fuel Surcharges are listed on individual Program pages. If you are applying after May 1st (in the program year) please call our office to ensure space is available and note that additional late fees may be applied to secure seats on flights with our registered group. Full payment is required upon receipt of acceptance.


 

TRAVEL INSURANCE

You must have extended health coverage for the duration of your trip. Keep in mind that each policy is different, and you should read over your policy carefully to be sure that you are getting the right coverage for you.
You can feel free to use any reputable insurance company. If you are looking for a recommendation you can purchase Manulife Insurance from Mirella Policciardi at Carlson Wagonlit Travel.

AIR TRANSPORTATION

Airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their planes or conveyances. Limitations and liability of international air carriers are contained on the reverse side of airline tickets. The passage contract in use by these companies when issued shall constitute the sole contract between the companies and the purchaser of these tours and/or passage.


 

LUGGAGE

Students will be informed of weight allowance in a Program Travel tab that is on the Student Login. This information is subject to change. Excess baggage costs are the responsibility of the students. Luggage travels at the risk of the passenger and MEI International Academy is not responsible for any delay, loss or damage to it or its contents. Our staff will however assist students in communicating with the airlines while in transit should an issue arise.


 

DEVIATIONS TO FLIGHT ITINERARIES

Extended travel arrangements, can be made through Carlson Wagonlit Victor Travel. Students who wish to extend their stay and require alternate flight arrangements must notify Mirella Policciardi at Carlson Wagonlit Victor Travel no later than March 1st. Students must then complete and return the Extended Travel Request form in the Acceptance Package. Travel extensions that are requested after March 1st cannot be guaranteed. The minimum fee charged by airlines to alter group flights is $250 and this amount may increase based on program flight, airline and dates requested. You will be informed of costs prior to any changes made. Deviations to group tickets involves an extension of your stay (change of return dates). You must fly home from the same city as per original group ticket and cannot be rerouted through another city unless Carlson Wagonlit is able to adjust airlines tickets accordingly. ​ Should you choose not to fly with the group on both the outgoing flights and incoming flights we can assist you with a separate ticket if you wish, and your program fee will be reduced – accordingly. Carlson Wagonlit Victor Travel can also assist with flights for parents to coincide with student’s flights.


 

LIVING STANDARDS

Some events are part of normal unpleasant occurrences which can happen when travelling abroad. Students realize this possibility, solely assumes the consequences thereof and agrees that MEI Academy cannot be held responsible for any damages owing to such occurrences.
Living Standards: Students are asked to bear in mind and accept that living standards, religion, sanitary conditions, local practices and the political system at the destination, and the conditions with respect to the provision of utilities, services and accommodation, may differ from those found in Canada.
Service Disruptions: Some services including water, electricity, air-conditioning, security, pools, beverages and other services or benefits may be suspended or interrupted partially or completely during the student’s stay.
Food, Water and Beverages: The food, water and beverages served abroad may not be up to North American standards and therefore may be the cause of health problems or illness. Accordingly, MEI International Academy cannot be held responsible for any health problems or illness resulting therefrom and the student is advised to take all necessary precautions.
Insects: Insect life thrives in certain climates and makes no distinction between budget, intermediate or higher-priced hotel accommodations.
Construction: To maintain the quality of services, hotel complexes must regularly undergo maintenance, improvement and renovation work and, in some instances, expansion. Whenever construction or renovation work that is likely to interfere with the use and enjoyment of any accommodation is brought to the attention of MEI International Academy, every reasonable effort will be deployed to promptly notify students, however, it cannot be held accountable for any inconvenience caused to them.
Holidays, School Breaks, Elections and Conventions: Students may be subject to certain inconveniences, such as cancellation or unavailability of some services, when travelling during periods designated as school breaks, other holidays, elections or conventions. Given these periods vary according to country and relevant authorities, it is practically impossible for MEI International Academy to provide any indication of such dates. The student acknowledges this and solely assumes the possible consequences of travelling during these periods.


 

LIABILITY/ERRORS AND OMISSIONS

MEI International Academy. provides supervision of registrants for all programs, events and activities, which it has specifically arranged in accordance with its itinerary. Registrants however are responsible to ensure that they follow the itinerary and are also responsible for ensuring they follow any changes to the itinerary. In the event that registrants participate or engage in activities, events or excursions not specifically organized and sanctioned by MEI International Academy, or conduct themselves in an inappropriate or unacceptable manner, they shall do so at their own risk and peril. MEI International Academy shall not be held responsible for any damage, loss, claim or injury of any kind whatsoever suffered in such circumstances, or as a result of such behavior, whether by willful conduct or by an act of omission. MEI International Academy cannot be responsible for any injury, loss, damage, accident, delay or expense resulting from events beyond their control including, without limitation, acts of God, strikes, incidents of politically-motivated violence, war, sickness, government restrictions or regulations.

As these programs are study/travel programs accommodation, classrooms and study areas may differ from facilities to which students may be accustomed.

Pictures and videos of staff and students taken on site may be used for promotional purposes by MEI International Academy.


 

CHANGES TO ITINERARY

MEI International Academy reserves the right to make alterations to the itinerary, to withdraw a program due to insufficient enrollment (with full refund issued to parents), or refuse to accept or retain a member of the group, as it deems necessary, and will advise registrants of any changes which significantly alters the program they have selected. If a student wishes to change their course or program selection, this must be done in writing no later than March 1st, and is subject to space availability and Academic Director’s approval.


 

TRAVEL DOCUMENTS

A valid Canadian passport is the only reliable and universally accepted evidence of Canadian citizenship and is required to travel outside of Canada everywhere and at any time. Certain countries require that the passport be valid for 6 months beyond the date of return to Canada. It is the full responsibility of the student to obtain at their own expense all necessary travel documents required by all relevant government authorities, including all ports of call, and to comply with the various laws thereof. Canadian citizens born in certain countries may require a visa in addition to a valid passport. A permanent resident card will be required for permanent residents/landed immigrants who are not Canadian citizens.

For more information on required travel documents, please consult the Government of Canada website www.travel.gc.ca. A student who fails to provide the required documents may be denied boarding privileges by the carrier or relevant authorities, without further recourse or the possibility of a refund. Entry to another country may also be refused even if the required information and travel documents are complete. No refund or replacement will be given for lost or stolen travel documents. MEI International Academy shall not be liable for any aid or information given by its employees or the travel agent in connection with obtaining any necessary travel documents or complying with any laws, whether given orally, in writing or otherwise, or for the consequences suffered by any student resulting from failure to obtain such documents or to comply with such laws


 

CHANGE IN PRICE

All airfares including taxes and service fees are non-refundable or at minimum carry a non refundable portion. Any increased change in pricing quoted at time of booking to time of issuance of travel documents that is more than 7% of the booking quoted price except any increase resulting from an increase in Retail Sales Tax or Federal Goods & Services Tax, shall entitle the customer to cancel the booking and obtain a full refund. Any price increases occurring after issuance of travel documents are our responsibility, except for increases in Retail Sales Tax or Federal Goods and Services Tax. No price increases are permitted once payment has been made in full.


 

PARTICIPANTS’ BEHAVIOR

A student BEHAVIOR policy (Conditions Governing Participation form) pertaining to code of conduct is part of the Acceptance Package and students and parents and must be read and sign this prior to departure. MEI International Academy reserves the right to terminate a student’s participation in the program at any time if the participant’s behavior is deemed inappropriate and unacceptable and this will be done at parents’ or guardians’ expense and no refund will be issued. Should a student, parent or legal guardian choose to discontinue participation in a program once a program has commenced, this will be at the parents’ or legal guardians’ expense and no refund will be issued. Any costs incurred as a result of damages, for which students are deemed responsible, must be paid for by students and/or parents or legal guardians prior to group’s return home.

Students are expected to adhere to the laws of the country, curfew rules, attend classes daily and on time, and treat all members of the program with respect. Use of illegal drugs, alcohol consumption, or use of motorized vehicles is not permitted regardless of program location and laws of the land and can result in an expulsion from the program. Overnight stays not related to the program are not allowed.
